Street Party Meeting: Minutes from 23 April 2009

Thank you to everyone who came to our meeting on Monday evening and for all contributions.
They following was decided at the meeting:
Street Party Date When David canvassed the residents, 18th July was the date most people preferred, and so it was decided the party will be on Saturday 18th July 3pm-11.30pm.
D.J. Jeff had asked the DJ (of Chester Road Street Party fame) if he would be available on 18th July. He quoted £200. We felt this price was a little steep and weren’t sure what that included. If anyone knows of any DJs available on 18th July, we would be really grateful if you could approach them or forward their details so we could talk to them. As this is a Community Street Party and because monies raised would be donated to charity, is there a possibility prices would be dropped?
Music Whether there is a DJ or not, it was decided we would need background music during the day.
Ian suggested that people could burn their favourite tracks onto a CD so that he could mix them for the party. People would need to do this a week before the party so Ian has time to mix music.
It was suggested that throughout the day music from different decades could be played at different times … so that there would be music from the 1940s right up to 2009. People would need to give CDs to Ian so that he could make this happen. If you are unable to burn CDs, let Ian (No. 39) know what music you would particularly like to hear.
Food It was decided that we would ask all residents to contribute a dish for everyone to sample. This worked really well last year. Residents would also be asked to contribute or bring soft and/or alcoholic drinks.
Road closure and insurance. David will contact the council
Funding. Ian will contact councillors to see if there is any available funding.
Charities We talked about where any money raised (mainly through a raffle) could be donated. Alot of people were in favour of a local charity or for using the money for a Community Garden.
Street Decorations. Katherine and Alison have agreed to do a banner.
Marquee and infrastructure. Stan and Cliff will look into this also into setting up a small stage area for kareoke and/or “Elmfield’s got Talent”

Events on the day.
We thought it would be a good idea to have a timetable of when different activities would be happening.
We came up with numerous events that could be going on throughout the day.
Suggested events:
“Elmfield’s got Talent.” This would be open to children and adults.
Kareoke. If anyone has access to a karoke machine or could help in anyway, please let us know.
Kids Events: Face Painting (Bridget)
Football (Jeff)
3 legged race
Egg and Spoon race
… all open to adults too!
Raffle. Any donations would be gratefully accepted.
It was decided that if there are a lot of donations, we could group smaller prizes together as one larger prize.
Lucky Dip or Tombola.
Bring & Buy.
Pet Show
Grafitti Art
“Strictly Elmfield”
Live Band. Does anyone know of any bands who would be interested in performing at the Street Party?
Or are there any musicians who want to get a band together?
These ideas are all brilliant and it would be great if some of them could actually happen. However, to make any event happen, we need people … YOU … to volunteer to co-ordinate an event. If you are interested in a particular event, let us know (either talk to or drop a note through David’s door (No.39) or Bridget’s door (No.4). Or if you can, PLEASE come to our meeting. There were very few people at the last meeting and all contributions are welcome and needed …. The more the merrier!
